You can add products in multiple ways. Below, the manual method is explained. It's also possible to import multiple products at once using an Excel file. The most up-to-date import template can be found here: Shortcut to the TICA Trends & Trade import template.
To create a product, go to Data, then Entities, and open the entity 'Article'. You can do this by double-clicking it or selecting the Article entity and clicking the 'View' icon.
⚠️ Warning: By clicking the 'Show/Hide Lookup Tables' icon, only relevant entities (tables) are displayed. Lookup tables are hidden. Clicking the icon again will show all entities.
After opening the Article entity, you will see an overview of your products. Click the 'Collapse Column' icon at the top right to customize the column layout. It’s recommended to show only essential columns, as performance decreases when more columns are activated. The number of rows displayed also affects performance. You can choose between 5, 10, 25, 50, or 100 rows. For optimal performance, select a maximum of 25. See the illustration below.
Click the 'Add' icon to add a product.
Then fill in the product details. Fields marked with a ! are mandatory. You cannot save the product if these fields are empty.
⚠️ Warning: Not all characters are allowed. Allowed characters: letters, numbers, space, and * / \ ( ) . - ' & , : % + # é = Ø _ @ ?
Each article in Beeyond is assigned a unique article number; a new Beeyond barcode starting with a 2.
⚠️ Warning: The Beeyond barcode, which always starts with a 2 followed by 4 digits of your exhibitor number, is for internal use only and cannot be used outside our locations without potential conflicts with third parties.
You can link your own EAN_13 barcodes to products. Depending on your active location, that barcode will be validated for use in that specific location.
In the 'General' tab, you’ll find the fields 'Barcode', 'Barcode Unique TT', and 'Barcode Unique TICA'. After entering a barcode (EAN_13 format) and saving the product, the fields 'Barcode Unique TT' and 'Barcode Unique TICA' will be filled if the entered barcode is unique in Beeyond. If these fields remain empty, the barcode is not unique, and you must assign a different barcode or relabel using the Beeyond barcode.
Possible messages:
Barcode is unique – Can be used in the active location(s)
Barcode is not unique. You need to relabel – Already used by you or another exhibitor. Remove the barcode from one of the products if you used it before.
Not active in this location – Barcode will not be active here, allowing another exhibitor to use it
To retrieve all products with non-unique barcodes (excluding the message 'Barcode is unique'), follow these steps:
Go to the Article entity and click the 'Search' icon. Then select the filter 'Article overview barcode NOT unique', as shown below.
In practice, it may happen that the same barcode is used twice by the same exhibitor, resulting in one article showing ‘Barcode is unique’ and the other showing ‘Barcode is not unique. You need to relabel.’ You will need to correct this. If the product is duplicated, set one of them to 'inactive'.
💡 Tip
You can clear the 'Barcode is unique' field in Beeyond by removing the value from the 'Barcode' field. Upon saving the product, the 'Barcode is unique' field is automatically cleared.
⚠️ Warning: The barcode will not be removed from the cash register (RetailVista) and will continue to scan until reassigned. If the barcode is later assigned to another product in Beeyond, it will be linked to the new product in RetailVista and removed from the old product.
